Annual General Meeting Tomorrow
Our Annual General Meeting sees the return of face to face lectures for the society which will resume in earnest in January 2022.
Being held on Wednesday 27th October in the Llantonian Hall, we need a minimum of 30 members for the AGM to go ahead so please make the effort to attend and support the society. If you cannot attend but would like to, please email your apologies ahead of time to llantwitmajorhortsoc@gmail.com and your apology will count toward our 30 attendees.
The Llantonian Hall has strict policies to keep attendees safe. Social distancing and mask wearing is compulsory and please continue to sanitise your hands, bring your own hot drinks and avoid crowding in the entrances and exits.
Committee members will be on hand to direct you to your seats, take your details for Test Trace Protect and help in any way we can.

Test Trace Protect (TTP) Privacy Notice
The information that you provide will be processed in accordance with the General Data Protection Regulation and Data Protection Act 2018.
This privacy notice explains what personally identifiable information is collected by Llantwit Major Horticultural Society (LMHS). It also explains how this information is used, how long it is kept, who it is shared with, what your rights are, and how you can find out more.
What is Test Trace Protect?
COVID-19 is an infectious disease affecting the whole of the country. The virus that causes COVID-19 is a coronavirus. Infectious diseases present a serious and ongoing threat to public health. If not controlled, they can infect large numbers of people and, depending on the disease and other factors, can result in ill-effects ranging from relatively minor symptoms to early death.
Contact tracing is an important way of controlling the spread of infectious diseases. It involves identifying and tracing all the people who have been in contact with a person who has been infected. Depending on the nature and duration of the contact, these contacts may require advice to prevent the disease spreading further.
Personal information will we require
Each individual entering the annual general meeting will be asked to provide their full name and telephone number. We will also record the date and time of your visit.
Why we need to process your personal data
The UK is currently experiencing a public health emergency as a result of the coronavirus (COVID-19) pandemic. It is therefore critical that organisations take a range of measures to keep everyone safe.
The easing of social and economic lockdown measures following the COVID-19 outbreak mean the Department of Health and Social Care has asked organisations to keep a temporary record of visitors for 21 days. In the event of a local outbreak of the virus this data may be used to assist Test Trace Protect as needed. This could help contain local clusters or outbreaks.
How we use your personal information
The information your provide is used to provide advice on self-isolation, testing and how to protect yourself and others from COVID-19. It will also help identify outbreaks which require support and will be shared for the following reasons:
Enable contact tracers to call people who have tested positive with COVID-19 to offer advice and gather information about the people they may have come into close contact with and who may have been infected with the coronavirus
Enable contact tracers to manage the process of tracing these contacts to find out if they have any COVID-19 symptoms and if so, to provide advice on how to seek help
Enable the planning, management and containment of local outbreaks
In the event of a local outbreak of coronavirus, names and contact details of visitors may be provided to Test Trace Protect
Test Trace Protect will ask for these records only where it is necessary, either because someone who has tested positive for COVID-19 has listed this event as a place they visited recently, or because this premises have been identified as the location of a potential local outbreak of COVID-19.
Test Trace Protect will work with you, if contacted, to ensure that information is shared in a safe and secure way. You can find further information on how how this service works on the government website.
How long will we keep your personal information
Information which is collected and stored solely for Test Trace Protect will be retained for 21 days after the event.
This reflects the incubation period for COVID-19 (which can be up to 14 days) and an additional 7 days to allow time for testing and tracing. After 21 days, this information will be securely disposed of or deleted.
Your rights
You have the right to request access to the personal information we hold about you, to be informed about the collection and use of your personal information, for the information held to be corrected (where the law permits) and to ask us to restrict the processing of your personal information. In certain circumstances you have the right to object to the processing of your personal information. This information will not be subject to any marketing.
